Event Planning and Organization for a Mid-Size Company Annual Retreat

Context   

An Atlanta-based business services company urgently needed assistance to plan, organize, and execute its annual US employee retreat (60 people invited). With less than two months until the event and no dedicated staff to manage the project, the company faced the risk of a failed event and burnout for team members who were left to handle the planning on top of their regular responsibilities. 

Accomplishment  

Penon Partners collaborated with the client to deliver a seamless, enjoyable event that exceeded employee expectations. We took responsibility of coordinating the retreat, and handling every aspect of the planning and logistics. 

  • Venue and Catering Selection: Researched and compared venue locations and catering options, identifying the most cost-effective yet high-quality choices. 
  • Logistics and Travel: Managed all logistics, ensuring timely hotel and travel bookings for every employee. We also ensured that retreat venues were conveniently located to provide a smooth experience for all attendees. 
  • Employee Communication: Kept employees informed about event details, answering questions and resolving any issues that arose. 
  • Venue and Event Design: Secured venues, curated menus, and designed décor, paying close attention to every detail—including dietary restrictions and creating personalized seating arrangements. 
  • Office Preparation: Made sure the office was stocked with everything needed for the retreat, from snacks and drinks to office supplies like pens, papers, and cups. 
  • Photography Services: Sourced an affordable photographer for the event and arranged a headshot station for employees. 
  • Day of Coordination: On the event day, we provided on-site support, ensuring timely presentations, coordinating with venues, assisting hotel guests, managing the photographer, and resolving any last-minute issues. 

Outcome 

Thanks to Penon Partners’ support, the client successfully hosted a retreat that employees thoroughly enjoyed. Feedback indicated that the event was far smoother and more professionally organized than in previous years. By offloading the event planning tasks to our team, the client’s staff was relieved of pressure, allowing them to focus on their core responsibilities.
